Step 1: Accessing the Sourcing Activity

To award a supplier, you first need to access the relevant sourcing activity in oboloo. Follow these steps:

  • Log in to oboloo using your credentials.
  • From the left-hand menu, navigate to the eSourcing module.
  • Find the sourcing activity you wish to finalise on the Sourcing Home Page. You can use the search bar or filters to quickly locate the activity.
  • Click on the sourcing activity to open its details page.

Step 2: Reviewing Supplier Responses

Before awarding a supplier, ensure that you have thoroughly reviewed and evaluated all supplier responses. oboloo allows you to compare supplier submissions, including their pricing proposals, questionnaire responses, and any supporting documents they may have provided.

  • Access the supplier responses by navigating through the Pricing, Questionnaires, and Supporting Documents tabs.
  • Use the comparison tools in oboloo to review and evaluate supplier performance based on scorers scores (if applicable).

Once you are satisfied with your analysis and have identified the supplier you wish to award, you can proceed to the awarding process.

Step 3: Initiating the Award Process

With your chosen supplier identified, it’s time to officially award them in oboloo. Here’s how:

  • On the sourcing activity details page, locate the green 'Award Supplier' button on the left hand side of the record. This button is typically found in the main action panel of the sourcing activity.
  • Click the 'Award Supplier' button to initiate the awarding process.

Step 4: Selecting the Supplier to Award

After clicking the Award Supplier button, a pop-up window will appear where you can select the supplier to be awarded from a dropdown list.

  • In the Select Supplier dropdown, choose the supplier you wish to award. This list will display all suppliers who have participated in the sourcing activity.
  • Review the supplier’s details one last time to ensure accuracy before proceeding with the award.

Step 5: Confirming the Award

Once you have selected the supplier, confirm the award by clicking the Confirm Award button. This will finalise the process and officially mark the supplier as the winner of the sourcing activity.

  • The sourcing activity’s status will automatically be updated to Awarded in the system.
  • The awarded supplier’s details will be recorded and stored within the sourcing activity for future reference.

Step 6: Post-Award Actions

After awarding the supplier, several updates take place automatically in oboloo:

  • The sourcing activity will be marked as Awarded and moved to the appropriate status in the sourcing table.
  • The awarded supplier will now appear at the top of the the sourcing activity record page, making it easy to view and track who was chosen.
  • You can download any necessary documentation or summaries related to the sourcing event for reporting or auditing purposes at any time..
