The Cancel Sourcing Activity feature in oboloo allows users to formally terminate a sourcing event before it reaches completion. Cancelling an activity can occur for various reasons, such as changes in project scope, internal decisions to delay or pause the sourcing event, or the need to restart the process with new criteria. Once an activity is cancelled, it will be removed from the active sourcing pipeline and no further supplier responses will be accepted. Suppliers will be notified of the cancellation, ensuring clear communication.

Step 1: Accessing the Sourcing Activity

To cancel a sourcing activity, first navigate to the sourcing event you want to terminate:

  • Log in to oboloo using your credentials.
  • From the left-hand menu, go to the eSourcing module.
  • Locate the sourcing activity you wish to cancel from the Sourcing Home Page. You can use the search bar or filters to quickly find the activity.
  • Click on the sourcing activity to open its details.

Step 2: Initiating the Cancellation Process

Once inside the sourcing activity:

  • Look for the red Cancel button at the bottom left-hand side of the acitivty record.
  • Click on the Cancel button to begin the cancellation process.

Step 3: Confirm Cancellation

When cancelling the sourcing activity, you will be prompted to confirm that you wish to cancel the activity.

  • Once cancelled, suppliers will no longer be able to submit a response to the activity. You will also be unable to reopen the activity in the future.

Step 4: Notifying Suppliers of the Cancellation

After confirming the cancellation, oboloo will automatically send a notification to all suppliers who were invited to the sourcing activity. This ensures that suppliers are aware of the decision and do not continue preparing or submitting responses.

  • Suppliers will receive an email notification informing them that the sourcing activity has been cancelled.

This step ensures clear communication with suppliers, helping maintain positive relationships even when a sourcing event is cancelled.

Step 5: Activity Status Updated to "Cancelled"

Once the activity is cancelled, its status will automatically update to "Cancelled" in oboloo. This means that the activity is no longer active, and no further supplier responses will be accepted.

  • The sourcing activity will be moved into a Cancelled status in the system, ensuring that it is properly distinguished from active or completed sourcing activities.
  • You can still access the details of the cancelled activity for reference, but no further changes or actions can be made.

Step 6: Accessing Historic Information on the Cancelled Activity

While the sourcing activity is no longer active, you will still be able to access all historic information related to the event. This includes any supplier responses submitted before the cancellation.
